Business Analyst

Primary Responsibilities:

  1. Requirements Validation
    • Analyze the Terms of Reference (TOR) against existing Cosmotech products and application features.
    • Conduct feasibility studies, functional scoping, stakeholder interviews, and data collection activities.
    • Support stakeholders in articulating and validating business requirements aligned with strategic goals.
    • Participate in requirement walkthroughs and validation meetings to ensure mutual understanding
      between business and technical teams.
  2. Requirements Documentation
    • Create comprehensive documentation including:
      – Business Requirements Document (BRD)
      – Functional Design Document (FDD)
      – Requirements Traceability Matrix (RTM)
      – Change Request Documentation
    • Collaborate with system users to develop detailed functional and technical specifications.
    • Coordinate with development and QA teams for implementation, clarifications, and issue resolution.
    • Maintain version-controlled repositories of all requirements and project documents.
    • Assist in defining business rules, workflows, and use cases.
    • Study application features to ensure familiarity with validation rules, processes, and system behavior.
  3. User Acceptance Testing (UAT)
    • Organize and facilitate User Acceptance Testing with the client.
    • Guide end-users during testing, ensuring full coverage of business scenarios.
    • Document and analyze results, track defects, and propose recommendations.
    • Provide timely UAT status updates and escalation reports to stakeholders.
  4. Issue Management and Reporting
    • Maintain the issue tracking system, ensuring all logged issues contain complete details for resolution.
    • Perform in-depth analysis of reported issues to determine trends, categorization, and root causes.
    • Escalate unresolved issues to the Quality Assurance and Development teams, providing
      detailed replication steps and impact assessment.
    • Validate fixes and coordinate re-testing before updating users on resolutions.
    • Ensure proper documentation and closure of resolved issues in accordance with established guidelines.
    • Summarize recurring issues and trends, ensuring effective communication with internal teams
      for future system enhancements.
  5. Knowledge Transfer/ Training
    • Develop and update training materials, presentations, user manuals, and hands-on exercises.
    • Conduct comprehensive training sessions for clients, tailored to their specific use cases and workflows.
    • Assess user competency post-training through evaluations, Q&A sessions, and hands-on tests.
    • Maintain and update training records, including attendance, completion status, and training effectiveness assessments.
  6. Coordination and Communication with Stakeholders and Clients
    • Act as a primary point of contact between clients and internal teams for project-related concerns.
    • Ensure prompt and accurate communication of system updates, implementation plans, and issue resolutions.
    • Document and escalate significant client concerns or risks to the Project Implementation Manager for resolution.
    • Assist in developing communication materials, including system updates, FAQs, and process guides.
    • Facilitate stakeholder meetings, providing updates on implementation milestones and issue resolution.
  7. Data Migration
    • Guide clients in the preparation of data migration templates, ensuring adherence to formatting
      and data structure requirements.
    • Conduct initial validation of client-provided data to identify discrepancies and inconsistencies.
    • Work with clients to resolve formatting issues before migration.
    • Monitor and report the progress of data migration activities, ensuring timely completion.
    • Assist in troubleshooting basic migration-related issues and escalate complex concerns to the appropriate teams.
  8. Securing Acceptance
    • Facilitate system acceptance activities, ensuring that all necessary conditions for sign-off are met.
    • Address client concerns and validate final requirements before obtaining acceptance sign-offs.
    • Maintain proper documentation of signed acceptance certificates for project records.
  9. Collaboration with Internal Team
    • Work closely with developers, quality assurance specialists, and business analysts to align
      implementation and testing activities with project goals.
    • Participate in regular team meetings, providing insights from client interactions to improve system usability.
    • Contribute to process improvement initiatives based on challenges encountered during implementation.
  10. Documentation of Change Request
    • Ensure all change requests are well-documented with clear descriptions, justifications, and expected impacts.
    • Use standardized templates and formats to maintain consistency in documenting change requests.
    • Work closely with business analysts and developers to refine and prioritize change requests.
    • Maintain a centralized repository for change requests, tracking approval status and implementation timelines.

Qualifications

  • Bachelor’s degree in Information Technology, Computer Science, Business Administration,
    Management Information Systems, or any related field.
  • 2 to 5 years of experience in a Business Analyst, Project Implementation, or System Analyst role.
  • Hands-on experience in requirements gathering, functional documentation, user acceptance
    testing, and client coordination.
  • Background in enterprise software implementation, preferably HRIS, ERP, or web-based platforms.
  • Exposure to full software development lifecycle (SDLC) or Agile methodologies is an advantage.
  • Solid understanding of business process analysis, workflow mapping, and system documentation.
  • Proficient in using tools such as:
    • Microsoft Office (Excel, Word, PowerPoint)
    • Project Management Tools (e.g., Jira, Trello or equivalent)
    • Documentation Tools (e.g., MS Visio of equivalent)
  • Familiarity with tools and techniques for writing:
    • Business Requirements Document (BRD)
    • Functional Design Document (FDD)
    • Change Requests (CRs)
    • Traceability Matrices
  • Strong analytical thinking, attention to detail, and problem-solving skills.
  • Excellent written and verbal communication skills for both technical and non-technical audiences.
  • Strong interpersonal skills with the ability to coordinate and manage multiple stakeholders.
  • Effective in time management and working under pressure to meet deadlines.
  • Proactive, adaptable, and open to continuous learning
